Privacy Policy

This policy explains what FocusPilot collects, why we use it, how optional integrations such as Google Calendar work, and the choices available to you. It applies to the FocusPilot website, web application, and Android application.

1. Information we collect

  • Account information: your name, email address, authentication records, and account preferences.
  • Workspace content: information you choose to create, including tasks, plans, calendar blocks, focus sessions, goals, habits, notes, reminders, checklists, bookings, and optional module data.
  • Booking information: booking-page settings and information submitted by guests, such as their name, email address, selected time, timezone, intake answers, and optional notes.
  • Device and service information: notification tokens and limited technical information such as timestamps, request metadata, error information, and security logs needed to operate and protect the service.
  • Communications: messages you send to our support or privacy addresses.

2. Google account and Calendar data

Connecting Google Calendar is optional and separate from ordinary email-and-password use. If you connect it, FocusPilot receives your Google account identifier and email address, OAuth access and refresh tokens, and permission to manage events on calendars you own.

FocusPilot uses this access only to provide the Calendar and booking features you request. In particular, we use it to create a calendar event and Google Meet link when a guest books with you, invite the guest, update the event when the booking is rescheduled, and cancel the event when the booking is cancelled. FocusPilot does not scan or import the contents of your Google Calendar through this OAuth connection.

We store your Google account email and identifier, encrypted OAuth credentials, credential expiry time, the Google event identifier, generated Meet URL, and synchronization status. OAuth credentials are encrypted at rest and transmitted over HTTPS. Booking details and the guest's email are sent to Google only as necessary to create and maintain the requested event and invitation.

FocusPilot's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements. We do not use Google user data for advertising, sell it, use it to determine creditworthiness, or allow humans to read it except when necessary for security, legal compliance, or user-requested support and only with appropriate authorization.

3. How we use information

  • Provide, synchronize, personalize, and maintain your FocusPilot workspace.
  • Authenticate users and protect accounts, workspaces, and the service.
  • Process bookings and send requested confirmations, invitations, reminders, rescheduling notices, and cancellation notices.
  • Provide optional features you enable, including push notifications, AI-assisted workflows, and third-party integrations.
  • Diagnose errors, prevent abuse, improve reliability, and respond to support requests.
  • Comply with applicable legal obligations and enforce our Terms.

We do not sell personal information and do not use it for third-party behavioral advertising.

4. Service providers and sharing

We disclose information only when needed to operate features you use, protect the service, comply with law, or complete a transaction you request. Providers may include hosting and database infrastructure, email-delivery services, notification delivery services such as Google FCM or Apple, Google when you connect Google Calendar, and an AI provider when you deliberately use an AI feature.

Optional AI features send only the content needed to answer the request you initiate. Booking guests receive meeting information supplied by the booking host and information necessary to manage their booking. Providers process information on our behalf or under their own applicable terms; we do not authorize them to use it for their own advertising.

5. Cookies and local storage

FocusPilot uses essential cookies and browser storage to keep you signed in, protect authentication flows, remember interface preferences, and support installed-app behavior. We do not use third-party advertising cookies.

6. Retention, disconnection, and deletion

We retain account and workspace information while your account is active and as reasonably necessary to provide the service, resolve disputes, prevent fraud, and meet legal obligations. Retention periods can vary with the type of record and applicable requirements.

When you disconnect Google Calendar in FocusPilot, we delete the stored Google OAuth credentials from our database and make a best-effort request to revoke the authorization with Google. Existing events already placed on your Google Calendar can remain there until you delete them. You can also revoke FocusPilot directly from your Google Account connections.

You can delete your FocusPilot account from Settings or request deletion by email. Account deletion removes the associated workspace information and stored Google connection credentials, subject to limited backups or records we must retain for security or legal reasons. Revoking Google access does not itself delete your FocusPilot account or non-Google workspace content.

7. Security

We use administrative and technical safeguards designed to protect information, including transport encryption, access controls, tenant-isolated database queries, and encryption of stored Google OAuth credentials. No system is completely secure, so we cannot guarantee absolute security.

8. Your choices and rights

You can update account information, control notification preferences and optional modules, disconnect integrations, revoke Google permissions, export certain data where provided, or delete your account. Depending on where you live, you may also have rights to access, correct, delete, restrict, or receive a copy of your personal information.

9. Children

FocusPilot is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Additional minimum-age requirements may apply in your country.

10. Changes to this policy

We may update this policy as the service or legal requirements change. We will update the date above and provide additional notice when a change is material.
