Bookings, Google Calendar, and Meet

Publish a scheduling page, avoid conflicts, and create meeting links automatically.

Connect Google Calendar

  1. 1Open Bookings and select Connect Google Calendar.
  2. 2Authorize the Google account that should own new meeting events.
  3. 3Return to FocusPilot and confirm the connected email and status.
  4. 4Reconnect if Google access is revoked or the connection reports an error.

Calendar authorization is separate from signing in with Google. It requests event access only when you choose to connect it.

Create a booking page

  1. 1Create a booking page with a title, duration, timezone, public slug, and availability window.
  2. 2Set weekday availability and add date-specific overrides or time off.
  3. 3Add optional intake questions and guest confirmation or reminder messages.
  4. 4Choose Google Meet as the location when Calendar is connected, then publish and share the public link.

What happens after a guest books

  • The slot is protected against double booking.
  • A Google Calendar event and Meet link are created when Google Meet is selected.
  • The guest confirmation identifies the host and meeting and includes the join and management links.
  • The host receives a booking alert with guest details and the Meet link.
  • A meeting task is created in the host workspace; its notes include the current Meet link.

Reminder and change sequence

Guests receive restrained reminders about 24 hours and 30 minutes before the meeting. A stage is skipped when a meeting was booked after that stage would normally have been sent. The host receives a 30-minute reminder according to notification preferences.

When a booking is rescheduled or cancelled, FocusPilot updates the booking workflow and sends clearly identified change messages. Reminder keys include the scheduled start time, so a rescheduled meeting receives the correct new sequence without duplicates.
