Search, Quick add, and the AI assistant

Search the workspace

Open the command palette with Search or jump to… in the top bar or with ⌘K (Ctrl+K). It has quick actions (New task, Start focus session, switch theme) and Go to for every page; typing also lists matching Settings pages.

Search starts after 2 characters and is case-insensitive. It covers tasks, goals, notes, checklists and reminders, plus clients and bookings when those modules are on (files are searched on the Files page). Selecting a result opens it.

Capture without losing your place

Quick add opens from the top bar, with ⌘N (Ctrl+N), the + button on a phone's bottom bar, or New task in the command palette; the Tasks page also has an Add a task bar. Natural-language hints can identify timing, repeats, priority, Areas, tags, and time estimates, and the preview shows each one before you add the task. Working past midnight, “tomorrow” means the day about to start, not the one after it.

Use the AI assistant safely

• Ask read-only questions about your workspace data.
• Ask how anything in FocusPilot works: the assistant searches this help center, the guides and the developer docs, and links the page it used.
• Ask it to change things in bulk or plan your day: it can change or clear out a batch of tasks in one go, run Plan my day and apply the time blocks, and set today's top 3.
• Ask it to change your settings (“turn off the daily emails”, “set my workday to 8 to 5”, “turn on Finance”), attach a file you've already uploaded to a task, log focus time you did away from the timer, or pause a booking page. It can't upload files for you.
• Use voice input when transcription is configured (OpenAI or Gemini).
• Review every proposed write action before confirming it.
• Turn on AI in the setup guide or in Settings → Modules (AI assist). The assistant then has a button at the bottom right of every page, which expands to the full Assistant page.
• Your chat is kept on this device only; Clear chat removes it. Press Enter to send and Shift+Enter for a new line. The mic button records a voice note.
• Each assistant message, AI plan or AI insight uses one AI run. See your monthly usage and limit in Settings → AI assistant; failed runs don't count.
