Today and daily planning

Use the Today command center, morning plan, automatic day planning, energy check-in, and end-of-day shutdown.

Understand the Today page

Today brings together the information needed to run the current day: top outcomes, overdue and scheduled work, focus progress, reminders, habits, energy, wellbeing, and optional inspiration or prayer cards.

Needs attention highlights unfinished overdue work. Upcoming tasks remain available elsewhere without crowding the immediate daily view.

  • The focus ring shows progress toward your daily focus target, with Start focus and your next planned block. Change the target in Settings → Time & schedule → Daily focus target (2 hours by default).
  • Top outcomes, Needs attention (overdue), Today's work and Due reminders (up to four due by the end of today).
  • Habits today: tap one to tick it off.
  • Energy: check in as Low, Medium or High; a strip shows the last 14 days.
  • Wellbeing, Prayer and Daily inspiration cards appear when those modules are on, and the AI Daily debrief (Highlights, Insights, For tomorrow) when AI assist is on.

How the day card changes

  • Plan today: select Choose top 3 to make the morning plan.
  • Today's plan: shows your picks and progress, with Edit and Wrap up early.
  • Wrap up your day: appears 60 minutes before the end of your workday.
  • Day closed: after the shutdown. Review reopens it.

Create a morning plan

  1. 1Select Choose top 3 on the day card at the top of the Today page.
  2. 2Choose up to three top outcomes from your open tasks that are overdue or due today. If there are none, add or schedule work first.
  3. 3Write a short daily intention describing what a successful day looks like.
  4. 4Select Save today's plan (pick at least one task). Tasks already scheduled for today join the plan too. Use Edit on the day card to change it later.

Block out the day on Planning

The Planning page (/planning) is a timeline of one day beside a list of tasks that aren't scheduled yet, grouped as Carryover (blocks left from earlier days), Today, Backlog (overdue) and Upcoming.

  1. 1Drag a task onto an hour to schedule it. A task without an estimate takes 30 minutes.
  2. 2Watch the Capacity meter, which compares planned time with your working hours.
  3. 3Use the X on a block to unschedule it, and Today, ‹ and › to change day.
  4. 4Select Save plan (or Update plan) to record it, or Plan my day to fill the day automatically.

Fill the day automatically with Plan my day

On Planning, Plan my day places your open tasks into the free time of the day you are viewing. Choose Smart scheduler for an instant plan worked out inside FocusPilot, or Plan with AI to have an AI model arrange the same tasks and explain each choice. Both follow the same rules, and nothing moves until you apply the plan.

  • Only free time is used: never hours that have already passed, never outside your workday, and never on top of calendar events, tasks already on the timeline, or prayer times when the Prayer module is on.
  • Unscheduled tasks and carryover from earlier days are both considered. Overdue work and tasks due that day come first, and a task due at a set time is finished before it.
  • With enough focus history, demanding work goes into your best focus hours and lighter tasks stay out of them. Block lengths grow when similar tasks usually take longer than estimated.
  • A low-energy check-in keeps the plan lighter. Anything that doesn't fit is listed with the reason.
  • Apply schedules every block at once. Undo, or ⌘Z, puts every task back where it was.

Plan with AI needs the AI assist module and counts as one AI run.

Close out the day

  1. 1In the last hour of your workday the day card switches to Wrap up your day. Select Shut down (or Wrap up early at any time after planning).
  2. 2Resolve each unfinished task: Move to the next day (which moves its due date and any time block) or Backlog. Each row shows what changed and can be undone.
  3. 3Answer How did today go? from 1 to 5 and write a short reflection.
  4. 4Select Complete shutdown. Your planned-done count and focus total stay on the day card.

Daily plans use your configured timezone and working hours. Working late is fine: after midnight, Today keeps treating the day you worked as today until partway through the night (halfway to your next start), so a late shutdown closes the right day and moves work to the day that is starting. Update your hours under Settings → Time & schedule if this happens at the wrong time.
