Understand the Finance workspace
Finance combines invoices, expenses, payables, clients, accounts, transactions, budgets, and a derived cashflow ledger. Monetary values are stored as integer cents and every query is scoped to the active workspace.
Create an invoice
- 1Create or select a client.
- 2Open Invoices and select New invoice.
- 3Leave the number empty to allocate the next workspace-specific number, or enter your own unique number.
- 4Add line items, dates, currency, payment progress, and status, then create the invoice.
Invoice numbers only need to be unique inside your workspace. Another FocusPilot customer's invoice numbers cannot collide with or expose yours.
Delivery responsibility
FocusPilot currently manages invoice records but does not email invoices to your clients. This avoids sending customer-facing financial mail from the FocusPilot identity as though it came from you. Share the finalized invoice through your own approved business communication channel.
Track actual cashflow
- Record partial and full invoice payments.
- Upload private expense receipts when file storage is configured.
- Import transactions from supported CSV layouts and categorize them.
- Use recurring rules for predictable income or expenses.
- Review budget progress, outstanding invoices, payables, and net cashflow.
